How to organize your rate card library?

What is this feature for?

A well-organized rate card library is the key for maximizing your business productivity in the long term. Without strict organization, you risk ending up with dozens of disordered cards, duplicates, outdated rates, and a significant waste of time when creating quotes.

Structured organization allows you to:

Instantly locate the right card among dozens of models

Maintain pricing consistency among your sales team and over time

Avoid pricing errors from using outdated versions

Simplify annual updates of your rates (rate cards, packaged services...)

Facilitate onboarding of new salespeople who immediately find the right models

How to access it?

In the main menu, click on Business > Rate Cards to access the complete list of your cards.

How does it work?

Principle 1: Adopt a clear and consistent naming convention

The name of your card is the first search criterion used by your salespeople. A structured nomenclature allows you to instantly find the right model.

Recommended nomenclature

General format: [Type] - [Descriptive Name] - [Year/Version]

Types of cards:

Rate Card - for profile-based rate cards

Module - for cumulative modular phases

Pack - for complete packaged services

Abaque - for client-specific cards with coding

Concrete examples:

To avoid:

💡 Tip: For rate cards, always add the year in the name. This simplifies annual updates and avoids any confusion over applicable rates.

Principle 2: Use tags to classify your cards

Tags allow you to quickly filter your cards by business type when creating quotes. Unlike the name, you can assign multiple tags to the same card.

Recommended tag strategy

Tags by business type:

Development, Marketing, Audit, Training, Maintenance, Design, Consulting

Tags by sales mode:

Reserve, Flat Rate, Recurring, One-off

Tags by service level:

Premium, Standard, Light, Discovery

Tags by client (for abaques):

Client-ClientName

Example of combined use:

Card: "Module - Website Revamp" 
Tags: Development, Design, Flat Rate, Premium
→ This card will be found through any of these 4 filters

💡 Tip: Limit yourself to a maximum of 3-4 tags per card. Too many tags dilute the effectiveness of the search system.

Principle 3: Associate the cards with clients for abaques

For clients with negotiated rates or specific abaques, systematically link the card to the client account when creating it.

Advantages:

• The card appears as a priority in the list when creating a quote for this client

• You avoid pricing errors (applying incorrect rates)

• Your salespeople don't need to search: the card appears automatically

👉 Essential Action: When creating a negotiated rate card with a client, always fill in the "Assign to a client" field. This simple action eliminates 90% of client pricing errors.

⚠️ Note: Only associate a card with a client if it is specific to them. Generic cards (rate cards, standard modules) should not be associated with a particular client.

Principle 4: Manage versions and updates

Your rates evolve over time (annual increase, new profiles, obsolete services...). Good version management avoids confusion and ensures the use of correct rates.

Versioning strategy

For rate cards:

• Create a new version each year with the year in the name

• Example: Rate Card - Agency 2025, Rate Card - Agency 2026

• Never modify a rate card mid-year: duplicate it if necessary

For modules and packs:

Modify the existing card if the change is minor (price adjustment, line addition)

Duplicate and rename if the change is major (structure change, new pricing positioning)

• Example: Pack - SEO Audit becomes Pack - SEO Audit v2 after a complete overhaul

Archiving old versions

Why archive:

• Allows you to find old rates for disputes or comparisons

• Avoids cluttering the list with obsolete cards

• Keeps the history of your rate changes

How to archive:

⚠️ Note: These archiving methods are recommended organizational conventions. Adapt them to your specific needs.

Method 1: Prefix [ARCHIVE]

• Rename the obsolete card by adding [ARCHIVE] at the beginning of the name

• Example: [ARCHIVE] Rate Card - Agency 2024

• These cards will appear at the top of the alphabetical list, easily identifiable

Method 2: Tag "Archive"

• Create a tag Archive and apply it to obsolete cards

• Your salespeople can then filter to exclude this tag during the search

💡 Tip: Keep archived cards for a minimum of 2 to 3 years to ensure traceability if needed. Beyond that, you can permanently delete them.

⚠️ Note: Never delete a card if it has been used in won quotes converted into ongoing projects. This could create inconsistencies in project tracking.

Principle 5: Create strategic variants by duplication

The Duplicate function allows you to quickly create variants of an existing card for different pricing positions or client profiles.

Use cases for duplication

Pricing positioning (Premium / Standard / Light):

Pack - SEO Audit Premium (€12,000, 12d)   
→ Duplicate → Pack - SEO Audit Standard (€8,000, 8d)
→ Duplicate → Pack - SEO Audit Light (€4,500, 4d)

Modify quantities and rates, keep the structure.

Client-specific adaptation:

Module - Website Revamp (general rate)   
→ Duplicate → Abaque - Client XYZ - Website Revamp
→ Apply negotiated rates and associate with client

Annual rate card evolution:

Rate Card - Agency 2025   
→ Duplicate → Rate Card - Agency 2026
→ Apply pricing increase (+3%)

💡 Tip: When duplicating a card, remember to immediately rename the copy according to your nomenclature to avoid confusion.

Principle 6: Organize by legal entities (if applicable)

If your Furious environment includes multiple legal entities (subsidiaries, countries, brands...), associate each card with the right entity to limit its use to the concerned users.

Advantages:

• The sales team only sees cards relevant to their entity

• You avoid quote errors with the wrong cards

• Each entity can have its own pricing policy

⚠️ Note: If a card is to be used by all entities (e.g., a common group card), do not associate it with any specific entity. It will then be visible to everyone.

Recommended maintenance routine

Monthly (10 minutes)

Check that no "test" or "draft" card is lingering in the list

• Rename poorly named cards according to the nomenclature

• Delete unnecessary duplicates

Quarterly (30 minutes)

• Check that the tags are consistent and up-to-date

• Identify seldom-used cards and archive them if necessary

• Duplicate cards with high evolution to create variants

Annual (2 hours)

• Create new rate cards for the year

• Archive rate cards from year N-2 or N-3

• Review all modules and packs: update rates, delete obsolete services

• Train new salespeople in the organization logic

💡 Tip: Appoint a rate card referent in the Business team to ensure the coherence and maintenance of the library. This person is the guarantor of organization quality.

Required permissions

⚠️ Note: Access levels may depend on the roles configured in your instance. Check your User & Permissions settings.

For creating and organizing rate cards:

• Permission "Rate Card Management: Access Authorization" required

• This permission provides access to the Business > Rate Cards page and allows creating, modifying, duplicating, and deleting cards

To use cards in quotes:

• All users with access to quote creation can load the cards, even without permission to modify the models

Organizational prerequisites

Before structuring your library, ensure you have:

Identified the card types you need (rate cards, modules, packs, abaques)

Defined your nomenclature and communicated it to the teams

Created the list of relevant business tags for your activity

Appointed a referent responsible for library maintenance
